You will be notified about the approaching date of handing over the apartment by an e-mail notification with concrete instructions - we consider the date of the lease beginning as a date of the physical apartment handover for this purposes. The unwritten rule on Flatio is that apartment is not handover earlier than after 3 o’clock PM. However, it’s up to you and your agreement with the landlord.
So the apartment can be handover to you earlier or later as well as the different day. In case of sooner move-in the landlord may require an additional rent for this one extra day (it’s appropriate to cover this situation by creating an amendment to the lease agreement - landlord can make it from his Flatio app, it’s only necessary to sign it via the authorization code like in case of lease agreement signature from your side).
Agreement of the details
It’s appropriate to contact the landlord about the handover details via Messages section in My Housing app. Only then we are able to provide you with sufficient (legal) support in case of sudden complications. As soon as the contractual process is successfully completed, you can write to your new landlord and immediately arrange the details of the handover with him.
Landlord doesn’t communicate with me
If the landlord doesn’t communicate with you for some reason, give him the time - sometimes it happen that landlord is out of the internet connection and does not even know that you are trying to contact him. If his reaction time lasted for several hours or even days, try to contact him via phone on his personal number which you can find on the Dashboard in My Housing app. And if it does not work at all, our kind customer support is ready to help!
Before the apartment handover
Before the apartment handover it’s appropriate to read again carefully the lease contract as well as general terms and conditions, and write down the phone contact to your landlord (you can easily find it on Dashboard in My Housing app, section Your landlord).
Except the physical receiving of the keys you will most likely sign the handover protocol. Although it’s not the mandatory operation, the landlord may not ask you to sign it. However, we strongly recommend to sign this document, so do not afraid to remind this action to the landlord and insist on it’s signature. You will find there a record about the state of accommodation at the moment of it’s handover including the actual state of energies. We recommend you to take photos of the handovered apartment and add to the handover protocol all the details you want to have covered - it’s a prevention in case of unexpected events that make the solution of it easier for both sides.
If the apartment corresponds to the presentation at the time the reservation request was created and you takeover the key from the landlord along with the signature of the handover protocol, it can be assumed that there was a seamless handover of the apartment. This handover has to be confirm via phone (+420 228 886 510) or via e-mail at firstname.lastname@example.org, so we can forward the first rent to the landlord (the following working day after the agreement).
